Client Records Transition Administration

Position Type: 
Full-Time, Contract Position; $15/per hour

The South Riverdale Community Health Centre (SRCHC) is a non-profit, multiservice centre that provides primary health care, social and community outreach services with an emphasis on health promotion to residents of Riverdale and South East Toronto.

The position will provide administrate support and help the organization successfully transfer to a new electronic client record system.    This will involve, reviewing clinical schedules, using excel to build new templates for schedules, validating administrative data, developing new process maps for administrative and clinical procedures, coordinating training of staff and providing day-to-day support and assistance to staff during the transition period. 

This position will also provide reception services for the Clinical Team of SRCHC including booking appointments, communicating with clients and patients, responding to general enquiries, acquiring services for and providing information to the public and other agencies regarding services.

Responsibilities: 

ECR Transition Responsibilities:

Work with Transition Team to:

  • Review for accuracy administrative data that will be mapped to new EMR
  • Update excel spread sheets with data to support the building of new clinic schedules, lists of referral sources, templates for referral letters etc.
  • Assist with the production of process maps that document changes to workflow
  • Assist with training activities related to the role out of a new electronic medical records system
  • Help validate administrative data prior to transition
  • Coordinate and set-up training sessions, meetings and associated materials (may include working on schedules, training materials, computers etc.)
  • Preparing for “go-live” launch; use pre-assigned templates to set-up each end-users security profiles, EMR dashboards and assisting with other system set-up activities as needed.

 

Medical Reception Responsibilities:

  • Provides intake and registration of new patients and creates, maintains, files and retrieves patient charts for clinicians
  • Provides word processing, photocopying, faxing and filing services to clinical staff, clinic nurse and managers
  • Makes arrangements and referrals with external services
  • Inputs encounter information for data collection purposes
  • Participates in centre wide initiatives
Qualifications: 
  • Grade 12 or equivalent required
  • Previous project assistance or coordination experience considered an asset
  • Comfortable using computers.Advanced knowledge of Microsoft Office (Word, Power Point, Access, Excel)
  • Ability to multitask and simultaneous attention to detail is essential
  • Demonstrated ability to work independently and as part of a team in a fast paced environment
  • Excellent communication skills
  • Experience with data entry

A police clearance letter completed within the past twelve months will be required prior to commencing employment.
